We are seeking a highly organized, personable, and detail-oriented Office Administrator to become an integral part of our team. This position serves as the first point of contact for clients and visitors while helping keep our office running efficiently. The ideal candidate is proactive, enjoys solving problems, and takes pride in keeping things organized and on track.
Key Responsibilities
Greet clients, visitors, and business partners in a professional and welcoming manner.
Answer and direct incoming phone calls and emails.
Manage day-to-day office operations, including supplies, equipment, and general organization.
Coordinate calendars, meetings, and appointments for the team.
Prepare, organize, and maintain files, records, and business documents.
Perform data entry and assist with contract and bond-related administrative processes.
Support internal communications and assist with special projects.
Help improve office workflows and identify opportunities to make processes more efficient.
Maintain confidentiality and ensure compliance with company policies and procedures.
Qualifications
Previous experience in office administration, executive support, or a similar administrative role.
Excellent written and verbal communication skills.
Strong organizational skills and exceptional attention to detail.
Ability to manage multiple priorities and meet deadlines.
Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint), Adobe Acrobat, and comfort learning new technology platforms.
Positive attitude, professional demeanor, and strong interpersonal skills.
A self-starter with a "figure it out" mentality and a willingness to take ownership of responsibilities.
Experience in insurance, surety, construction, legal, real estate, banking, or another contract-driven industry is a strong plus, but not required.
