Job Summary
The Construction Assistant Coordinator will be responsible for providing professional and administrative coordination of all facility construction projects. Performs non-routine administrative tasks related to the coordination of construction projects to ensure schedules and budgets are constantly maintained. Works in collaboration with Project Managers and Director with a professional attitude and image. Acts with confidence and a high level of confidentiality.

Other: Additional education/training beyond high school can include degree programs or Vocational training plus sufficient experience

Preferred Experience: Minimum of one year (1) project experience to include Healthcare renovation and new construction preferred.

Extensive verbal and written communication skills
Advanced proficiency in Microsoft Office Suite including Excel, Word, PowerPoint and Outlook
Ability to effectively communicate and coordinate with General Contractors, Sub Contractors and consultants
Perform project budget and cost tracking duties during all phases of each project
Coordinate and obtain timely contract execution from all appropriate levels of approval
Ability to take initiative, work independently, multitask and prioritize with minimal or no supervision
Ability to accurately review and complete detail-oriented information and projects
Ability to handle confidential information with discretion and have strong work ethic
Essential Tasks and Responsibilities
Project Coordination. Obtain contracts and change orders from vendors (with PM/Director Assistance) when needed for services or goods related to a project. Perform contract review process through contract database or other designated procedure. Coordinate internal and external communication during the review process, submit for signatures to all appropriate parties and finalize executed contract. Process executed contracts, change orders, quotes and proposals in budget software for issuance of purchase orders as needed.
Contracts, Financials and Analysis. Assist with cost and budget tracking. Review Purchase Order and invoice discrepancies. Works with Project Manager or vendor to resolve issues regarding any outstanding payments. Perform budget spend analysis and budget monitoring for each project. Submit to Director for review.
Meetings and Communication. Coordinate meetings with internal and external attendees. Prepare for project meetings, attend as needed, take meeting notes and distribute as necessary. Work collaboratively with Architects, Consultants, Medical Equipment Planners, Contractors, Subcontractors and Vendors in coordination with the projects.
Administrative Support. Maintain project requirements and project files in all aspects of the job. Maintain an up-to-date accurate, organized corporate filing system. Participate in special projects as needed and perform other support duties as needed.
